This Privacy Policy explains what Color Formula Vault (“the App”, “we”, “us”) collects when you use the App, why we collect it, and the control you have over it. By creating an account you agree to the practices described here.
1. Who this policy covers
Color Formula Vault is a professional tool for hair stylists and colourists. There are two kinds of people whose information appears in the App:
- You, the stylist — the person who holds the account.
- Your clients — the people whose colour records you save. You enter this information; we store it on your behalf. You are responsible for having your clients’ permission to record their details.
2. Information we collect
2.1 Account information
- Your name, email address, and (optionally) phone number.
- Your password, stored only as a one-way hash — we never see or store it in readable form.
- Your profile photo, if you upload one.
- Your preferences, such as your preferred measurement unit (grams, ounces, or millilitres).
- If you sign in with Google or Apple, the basic profile information that provider returns to us (name, email, and a provider account identifier).
2.2 Client and formula records you create
- Client name and, if you choose to add them, phone number, email, hair type, porosity, and notes.
- Colour formulas: visit date, service type, brand and shade, quantities, developer volume, mix ratio, processing time, toner details, cost of service, next appointment, and your notes.
- Before and after photos you attach to a formula.
2.3 Technical information
- Device and app version, used to support the app and diagnose crashes.
- A notification token, if you allow push notifications.
- Server logs containing request timestamps and IP addresses, kept for security and debugging.
2.4 Subscription information
Subscriptions are purchased and billed through the Apple App Store or Google Play. We receive your subscription status, plan, and renewal or expiry dates from those stores. We never receive or store your card or payment details.
3. How we use your information
- To provide the App: storing, syncing, and displaying your clients and formulas.
- To sign you in and keep your account secure.
- To sync your data across your devices and restore it when you reinstall the App.
- To send transactional email such as password resets and verification codes.
- To send notifications you have opted into, such as appointment reminders.
- To manage trials and subscriptions.
- To fix bugs, prevent abuse, and improve the App.
We do not sell your data, and we do not use your client records or photos for advertising.
4. Who we share it with
We share information only with the service providers needed to run the App:

We may also disclose information where we are legally required to, or to protect the rights and safety of our users.
5. How long we keep it
- Client and formula records are kept while your account is active.
- Records you delete in the App are marked as deleted immediately and removed from our systems within 30 days.
- When you delete your account, your data is scheduled for permanent deletion — see section 7.
- Server logs are retained for up to 90 days.
6. Security
Data is encrypted in transit using TLS and encrypted at rest on our servers. Passwords are hashed. Access to production systems is limited to staff who need it. No system is perfectly secure, but we take these safeguards seriously and will notify affected users of any breach as required by law.
7. Your rights and choices
- Access and correction — you can view and edit your account, clients, and formulas at any time in the App.
- Export — email us and we will send you a copy of your data.
- Deletion — see below.
- Notifications — you can turn push notifications off in your device settings.
Deleting your account
Open Settings → Delete Account in the App. Deleting your account permanently removes your profile, every client record, every formula, and every photo you uploaded. This cannot be undone, and we cannot restore the data afterwards. Deletion of your account does not itself cancel a subscription bought through the App Store or Google Play — cancel that in your store account.
If you cannot reach the App, email connect@colorformulavault.com from your account address and we will process the deletion for you.
8. Children
Color Formula Vault is a professional tool and is not directed at children. We do not knowingly collect information from anyone under 16. If you believe a child has created an account, contact us and we will remove it.
9. International transfers
Our servers and service providers may process your information in countries other than your own. Where we transfer data internationally, we rely on appropriate safeguards to protect it.
10. Changes to this policy
We may update this policy. When we do, we will change the “Last updated” date above and, for material changes, notify you in the App. Continuing to use the App after a change means you accept the updated policy.
